We are seeking an exceptionally bright, self-motivated and customer obsessed Executive Assistant to support two members of the Senior Leadership Team. This role demands a strong sense of urgency and the ability to work independently on assignments with sound judgment. You will manage Directors diaries and be team support to this new exciting and growing business.The successful candidate will have great organisational skills, a strong bias for action and the ability to multitask effectively.
This role requires the ability to complete high volumes of tasks and projects quickly with little guidance, as well as react with appropriate urgency to situations and events that require quick response or turnaround.
The ideal candidate will be a detail oriented, experienced planner with the demonstrated ability to make smart and timely decisions, while maintaining a comprehensive awareness of the organization. The Executive Assistant will act seamlessly, and can build effective working relationships inside and outside of the organization.
•Several years EA/ PA experience at Director level in a fast-paced environment •Excellent computer skills, Outlook (Advanced), Excel (Advanced), Word (Advanced), PowerPoint (Advanced), and Internet •Excellent communication (written and verbal) and interpersonal skills •Ability to deal with ambiguity - must be flexible and able to commit the time required to get the job done • Complex calendar management and meeting prioritization as well as large scale meeting coordination. Impeccable attention to detail and high levels of integrity and discretion • Proactive project and events coordination and engagement with leadership. • Drive key team activities (staff meeting agendas, all-hands meetings, quarterly onsites/offsites); track and help drive completion of key deliverables and follow up on outstanding items. • Maintain organizational charts; partner with Finance, Recruiting and HR on headcount management. • Meticulous document coordination, meeting follow up and preparation, space planning and coordination, new hire on-boarding, team social events, etc. •Travel coordination, including creating detailed itineraries and briefing materials. •Coordinate and track expense reimbursements. •Prepare and issue minutes of meetings •Organize, prioritise and handle time-sensitive, confidential information and ensure appropriate action is taken •Act as administrator for team SharePoint sites. •Manage, and coordinate with, assistants throughout the team and across the company
• Impeccable attention to detail, time management and organizational skills. • High degree of professionalism in dealing with senior professionals inside and outside the company. •Ability to quickly learn organizational structures and the objectives of the team. •Ability to handle administrative details independently, while exercising good judgment in keeping team members adequately informed •Positive and proactive; able to have fun at work and help others do the same
