    Position: Regional Executive Assistant

    Working hours: 11:00 AM to 7:00 PM



    Position Overview:

    The successful candidate will form a key part of our European Digital & Device (D2) team, taking responsibility for the efficient running of various administration tasks that are essential for the smooth running of the department across the EU.

    Job Responsibilities:

    Provide executive support to the Senior Leadership Team for D2.
    Manage the booking of meeting rooms and ensure the smooth running of these meetings.
    Arrange international travel itinerary and hotel bookings.
    Arrange Travel, Accommodation, Restaurant and Taxi itineraries for visitors from other sites.
    Interact with Amazon counterparts on a global basis to arrange meetings, conference calls, diary schedules.
    Create and maintain email alias lists and organizational charts for the team.
    Manage weekly/monthly reporting.
    Prepare materials for meetings and provide post-meeting follow-up notes.
    Assist with the preparation of presentations and narrative documentation.
    Maintain an effective computer based filing system and manual filing systems where appropriate.
    Organise small-scale team events and larger scale department/ company-wide events as required.
    Take proactive steps to ensure that best practice and coordination is seamless across all interfaces.
    Be responsible for the overall direction and coordination of the department’s administration.
    Make timely decisions using independent judgment on a regular basis.
    Carry out responsibilities in accordance with the organisation’s policies and procedure.

    Basic Qualifications

    A minimum of 3+ years as an Executive Assistant/ Personal Assistant or other secretarial/administrative experience involving the support of staff at senior management level.
    Advanced computer literacy, including Word, Outlook, Excel, PowerPoint, Visio, One Note and SharePoint.
    Ability to drive fast results within tight timeframes.
    Able to work efficiently and accurately under pressure.
    Excellent organisational, planning and prioritisation skills and the ability to multi-task.
    Attention to detail is paramount.
    Able to dive deep into data and present information in a coherent, articulate manner.
    Extensive experience of diary management and arranging international travel and conference calls.
    Ability to influence and negotiate.
    Confident dealing with senior level staff and ability to communicate in a crisp, concise and professional manner.
